Guest Experience Coordinator 2019

Responsibilities:

  • Representing VCM – customer support, ticketing inquiries, complaints & questions
  • Respond and book customer requests related to WunderBAR, and group bookings in a timely manner
  • Actively seek local companies to sell/promote the WunderBAR and group bookings
  • Providing guests with a positive first impression of VCM by offering superior, individualized guest service
  • Ticketing logistics – ticket stock, inventory & supply at ticketing huts
  • Coordinating paid staff – training, scheduling, hours, monitoring, continued training
  • POS system – updates, adaptations, improvements, setup & integration, wrap up & inventory
  • Tracking attendance & crowd control – fences, signs, etc.
  • Engage with guests and staff to ensure excellent service at the VCM information & merchandise booth
  • Cash management and accounting & overseeing cash out
  • Setup & implementation of all VCM POS systems (incl. F&B) & ensure smooth overall operation and functionality of entrance area and POS system
  • Assist with preparing training manuals & schedules for staff. Assist with the training session for staff.
  • In collaboration with VCM’s Marketing Team prepare, implement, execute, evaluate ticket and general promotions with theatres, tourist attractions and other partners.
  • Monitor social media and promotional schedule & inform staff accordingly.
  • Coordinate the distribution of marketing and promotional material of sponsors at the entrance area and track an accurate inventory. Ensure full exposure of partners & sponsors incl. Sponsor Walls, Promotional Setup, Rack Cards & posters and banners
  • Track, analyze and interpret visitor statistics (attendance, categories, etc.).
  • Create a review incl. main aspects of managing the entrance area (fences, signs, staff, scheduling, tickets & setup) and the POS system (implementation & setup, operation, fixes, etc.).
  • Assisting with supervising daily operational requirements of front line services and implement efficiencies in staff scheduling. Plan, coordinate, and direct staff to ensure adequate resources are appropriately and efficiently allocated in order to maintain services at all times. Coordinate and schedule daily tasks for ticketing staff.
  • Accurately operate and administrate VCM POS system to sell regular tickets, group tickets and 3rd party vouchers while processing cash, credit card and pre-paid tickets.
  • Actively participate on the floor with staff.
  • All other duties as assigned.
  • Maintain hut decor, merchandise information booth, maintain inventory counts and organize department materials

Qualifications and Requirements:

  • At least 1+ years of event and festival management within a coordinator role
  • Experience in festival planning and logistics, trade show management and customer service
  • Enjoy the challenge of problem solving and come up with well thought through practical solutions
  • Work as part of a team and exercise tolerance and consistency when dealing with others.
  • Sound knowledge in project management and POS management
  • Technology savvy and experience with implementation and troubleshooting of POS systems
  • Experience in staff training, scheduling and supervision of teams
  • Ability and experience to lead and coordinate a team (25-30 people)
  • The effective use of self confidence and persuasion are important
  • Fluent in English, a second language (especially German) is an asset
  • Available 40+ hours per week and ability to work extended evening shifts and weekends
  • Basic administrative skills in combination with a good working knowledge of excel
  • Access to and willingness to use personal phone for the project
  • Detail oriented, accurate and very well organized – loves working with numbers and money
  • Good verbal communication is key in this role.
  • Patience, self-organization and sincerity are important in this role
  • Ability to work under pressure within a fast-paced environment
  • Must provide criminal record check
  • Ability to lift up to 50 pounds and work in an outside environment for long periods of time

Guest Services Team Lead

We require full availability and a commitment of 40 hours a week during the periods of November 8, 2019 to December 29, 2019.

Responsibilities:

  • Assist with Guest Service Huts’ services and infrastructure during planning, event and dismantling phase
  • Assist with acting contact for VCM guest Services Team for staff engagement
  • Assist with setup and decoration, as well as move-out of VCM Guest Services Huts
  • Ensure a daily morning check-in with managers and staff
  • Contribute to a smooth workflow during peak times and be part of the Guest Services Team

    ordering as assigned

Responsibilities:

  • Assist with set up and tear down of market
  • Installation of fence wraps, signage & plywood for floor protection
  • Decoration assembly & setup
  • Tool & equipment inventory and restocking
